Blood Bank Management System
Run the full transfusion cycle — donor, collection, testing, components, crossmatch, issue and bedside — in our cloud, on your own server, or fully offline at each branch with no internet dependency.

S-Tech Blood Bank Management System covers donor registration, screening, collection, TTI testing, blood grouping, component preparation, quarantine, crossmatch, issue, bedside transfusion and final disposal. It runs three ways: hosted in our cloud, on your own server, or fully offline, where each branch runs its own server and database and workstations connect over the branch network. Camps run on Android tablets that sync back when they return. Every module has role-based access, an append-only audit trail and configurable workflow rules, and the same product is configured per branch rather than rewritten for each one.
Why this exists
What it fixes
These are the problems clients describe to us before they buy. If none of them sounds like your week, this may not be the right product — tell us and we will point you at a better one.
What we hear
Donor records sit in spreadsheets or older software, so a returning donor is not reliably recognised and the interval between donations is checked by hand.
Laboratory instruments run standalone on their own vendor software, so every result is read off one screen and typed into another.
A system that only works online stops issuing blood when the connection drops, while a purely local one cannot give a group of branches a shared view.
Camp records come back on paper or a separate device and are merged by hand, which is where duplicate donors and missing units come from.
What is inside
12 modules
Every deployment turns on the modules you need. Nothing here is a separate purchase unless the plan says so.
Donor management
Registration with a permanent donor identity, photograph, medical history, donation history, eligibility checks and deferrals that block the donor from re-presenting until the deferral ends.
Camps on Android tablets
Camp scheduling, staff and volunteer allocation, offline registration, screening, consent and bag labelling on the tablet, camp statistics and printed donor certificates.
Screening & collection
Configurable medical screening workflow, automatic unit number series, apheresis and special-donor selection, and pre- and post-donation counselling records.
TTI testing
Interfaced and manual result entry, single-step or two-step validation, retest rules for grey-zone and high readings, NAT rules and handling of reactive units.
Grouping & immunohaematology
Forward and reverse grouping by several methods, alerts on forward/reverse discrepancy and historical mismatch, ICT, DCT, antibody screening, identification, titration and panel cells.
Component preparation
Bulk and individual separation, expiry worked out from donor type, bag type and method, aliquot and irradiation tracking, and weighing scale interfacing.
Quarantine & stock
Units are released from quarantine only on validated negative results. Quarantine dashboard, checklist generation and controlled entry into stock.
Crossmatch & issue
Rule-based allocation by group and patient type, electronic crossmatch, least-incompatible highlighting, barcode double verification, visual inspection checklist and return to stock.
Bedside transfusion
Order placement and cancellation, barcode check at the bedside, vital signs, transfusion completion, and haemovigilance and reaction reporting.
Inventory, stores & waste
Barcode stock verification, batches, consumption, indents and reorder alerts, plus tracking of reactive and expired units through to disposal with disposal registers.
Quality, SOP & CAPA
Component and reagent QC, internal and external quality assurance records, an SOP library with versions and read acknowledgements, recurring tasks, CAPA and document review dates.
Traceability & reports
Append-only audit trail with user, time, old and new value. One-click trace from donor to patient and back. Dashboards for stock, expiry, utilisation, donation trends and turnaround, in PDF, Excel or HTML.
The RFID difference
What RFID adds over manual and barcode
Barcode and manual entry still work everywhere in this product. This is what changes when you add RFID on top.
- Bag, component and patient labels are barcoded as standard, and the design lets RFID labelling be added later without reworking the system.
- The same verification steps — stock checks, issue and bedside — carry over when RFID readers, antennas and tags are added.
- RFID can be brought in at a later phase, branch by branch, alongside the barcode labels already in use.
Deployment
Cloud, your server, or no internet at all
The same software either way. This is a deployment choice, not a different edition with fewer features.
Cloud
Hosted and managed. Nothing to install, live in days.
Self-hosted
On your own server, inside your building. You own the database.
Fully offline
Runs on a local network with no internet at all, and syncs when one returns.
Runs on
- Web (cloud or own server)
- Branch server (offline)
- Workstations on the branch network
- Android tablets (camp app)
Integrates with
- Laboratory analysers over serial (RS-232), TCP/IP or vendor SDK, with ASTM and HL7 parsing
- Weighing scales for component preparation
- Temperature logging devices with a local data interface
- Hospital information systems with a documented interface
- Legacy donor data from spreadsheets and existing software
- Report output in PDF, Excel and HTML
Who it is for
- Hospital blood banks
- Standalone blood centres
- Blood bank groups with several separate branches
- Blood banks that run regular donation camps
- Sites where internet access is unreliable or not permitted
How it is sold
Plan tiers
Actual pricing depends on modules, users, sites and whether you host it yourself, so it is quoted. These tiers tell you where you would sit.
Branch
The full module set for one branch, in our cloud, on your server or offline, with legacy data migration, staff training and go-live support.
Get a priceConnected Branch
Everything in Branch plus the instrument interfacing service, the Android camp app with deferred sync, and HIS integration where the HIS allows it.
Get a priceMulti-Branch
Independent installations at each branch, configured rather than rewritten, with hardware supply, a named support specialist and regulatory documentation support.
Get a priceEvery S-Tech product
The same nine promises, on all 22 products
These are not per-product features. They apply to everything we build, and they are the reason our software works on sites where other systems do not.
RFID-first
Every product is built around RFID speed and modern technology from the start, not bolted on afterwards.
Any RFID hardware
Ready to configure with any make of RFID hardware. Barcode, QR code and traditional manual methods work by default.
Runs anywhere
Web, Windows, macOS, Linux, Ubuntu, Unix and Android. Your team uses the machine it already has.
Online or offline
Works fully online in the cloud, or fully offline on a local server, and syncs when a connection returns.
Self-hosted option
Host it on your own server and keep the data inside your building. No dependence on our infrastructure.
White-label
Available under your own brand — logo, colours, product name and domain.
Customisable
Every deployment is unique. Modules, fields, forms, reports and workflows are changed to fit your process.
Performance & reliability
Built for speed and uptime under real load, on real hardware, in places with unreliable power and network.
Secure by design
Encrypted data, role-based access, full audit trail and scheduled backups. You own the data.
A note on wording: where we say "fully offline" we mean the system runs on a local server on your own network with no internet connection, and syncs when one returns. Where we say "secure" we mean encrypted data, role-based access, a full audit trail and backups you control. We would rather be specific than round it up to 100%.
Questions
Before you ask us
The things buyers actually check. If your question is not here, ask it — we answer honestly, including when the answer is no.
Cloud, own server or offline?
Any of the three. We can host it in our cloud, install it on your own server, or run it fully offline. In offline mode each branch has its own server and database, workstations connect over the branch network, no clinical or operational function depends on the internet, and a fault or upgrade at one branch has no effect on another.
How do camps work without a connection?
Staff use an Android tablet app that stores registration, screening, consent, bag labels and collection records in an encrypted local database. Back at the branch the tablet is synced from the admin dashboard: duplicate donors are flagged, conflicts go to an authorised user, nothing is merged silently and a reconciliation report is produced.
Which instruments can be connected?
Instruments that expose a serial, network or vendor SDK connection. The method, port and protocol for each one are confirmed during an on-site survey. If an instrument has no usable interface or documentation, we report it with options rather than leave it to slip the schedule.
How are national ID numbers stored?
The number is captured by document upload with OCR or by typing, then encrypted before storage with keys held apart from the database. Staff only ever see the last four digits, and repeat-donor matching and interval checks run without exposing the full number.
How are backups handled?
Administrators can back up to an external disk or USB drive, and scheduled backups run to a second location on the server. Restores use a guided utility. Off-site rotation of backup media stays with the branch, and we document a recommended procedure at handover.
Is this a licensed medical device?
We do not claim that. We prepare the technical documentation a licensing application needs — intended use, design records, risk file, lifecycle and validation evidence — and support your regulatory consultant. Licensing itself is a separate workstream.
