RFID Laundry Management System
Washable RFID tags on linen and uniforms, counted in and out of each wash cycle — by department, by customer, by item.
Product screenshot — RFID Laundry Management System. The client supplies 3 to 6 clean screenshots per product before launch.
Linen is a large, invisible cost. Sheets and uniforms are counted by hand, or not counted at all, and the loss rate is only noticed when the purchase order arrives. S-Tech RFID Laundry Management System puts a washable tag inside each item and counts it at every stage — collection, sorting, wash, finishing, delivery and return — so hotels, hospitals and industrial laundries know exactly what they own, where it is, and how many washes it has left.
Why this exists
What it fixes
These are the problems clients describe to us before they buy. If none of them sounds like your week, this may not be the right product — tell us and we will point you at a better one.
What we hear
Linen is counted by hand at collection and delivery, which is slow, disliked, and inaccurate on a busy day.
Disputes with the laundry or with a department come down to two different manual counts and no evidence.
Nobody tracks wash cycles per item, so linen is replaced by feel rather than at its actual end of life.
Loss is absorbed into the purchase budget instead of being traced to a floor, a ward or a customer.
What is inside
10 modules
Every deployment turns on the modules you need. Nothing here is a separate purchase unless the plan says so.
Item master & tagging
Each sheet, towel, gown or uniform with a type, size, owner, purchase date, tag ID and wash count.
Collection & sorting
Soiled linen counted in bulk at collection by a tunnel or cabinet reader, sorted by type and owner automatically.
Wash cycle tracking
Batch made up, machine and programme recorded, and a per-item wash count that increments on every cycle.
Finishing & packing
Clean linen counted out, packed per department or customer, and a delivery note generated from the actual read.
Delivery & return
Delivery confirmed by a read at the receiving end. Any shortfall is visible immediately, not next month.
Department & customer accounts
Live holding per ward, floor, department or external customer, with ageing and a printable statement.
Uniform issue
Staff uniform issue and return against an employee record, with size, set count and return-on-exit checking.
Life & replacement
Wash-count thresholds by item type, retirement list, condition grading and a replacement forecast for the purchase team.
Billing
Charge per piece, per kilogram or per contract, generated from counted items rather than from a claim.
Reports & loss analysis
Loss rate by department and route, turnaround time, machine utilisation and stock in circulation.
The RFID difference
What RFID adds over manual and barcode
Barcode and manual entry still work everywhere in this product. This is what changes when you add RFID on top.
- A trolley of 300 pieces is counted in seconds as it passes a tunnel reader. Hand counting the same trolley takes a person twenty minutes and is still wrong.
- Washable UHF laundry tags survive 200 or more industrial wash and press cycles, which is longer than the linen itself lasts.
- Because every item is identified individually, loss can be traced to a specific floor, ward or customer rather than absorbed.
- Wash count per item makes replacement a scheduled decision instead of a reaction.

How it is sold
Plan tiers
Actual pricing depends on modules, users, sites and whether you host it yourself, so it is quoted. These tiers tell you where you would sit.
Linen
Item master, collection and delivery counting, department accounts and loss reports.

The same nine promises, on all 22 products
These are not per-product features. They apply to everything we build, and they are the reason our software works on sites where other systems do not.
RFID-first
Every product is built around RFID speed and modern technology from the start, not bolted on afterwards.
Any RFID hardware
Ready to configure with any make of RFID hardware. Barcode, QR code and traditional manual methods work by default.
Runs anywhere
Web, Windows, macOS, Linux, Ubuntu, Unix and Android. Your team uses the machine it already has.
Online or offline
Works fully online in the cloud, or fully offline on a local server, and syncs when a connection returns.
Self-hosted option
Host it on your own server and keep the data inside your building. No dependence on our infrastructure.
White-label
Available under your own brand — logo, colours, product name and domain.
Customisable
Every deployment is unique. Modules, fields, forms, reports and workflows are changed to fit your process.
Performance & reliability
Built for speed and uptime under real load, on real hardware, in places with unreliable power and network.
Secure by design
Encrypted data, role-based access, full audit trail and scheduled backups. You own the data.
A note on wording: where we say "fully offline" we mean the system runs on a local server on your own network with no internet connection, and syncs when one returns. Where we say "secure" we mean encrypted data, role-based access, a full audit trail and backups you control. We would rather be specific than round it up to 100%.
Questions
Before you ask us
The things buyers actually check. If your question is not here, ask it — we answer honestly, including when the answer is no.
How long do the tags last?
Industrial laundry tags are rated for around 200 wash and press cycles, and in practice usually outlast the linen they are sewn into. We select the tag type against your wash temperature and press pressure.
Where does the tag go?
Sewn into a seam or a hem pocket, or heat-sealed on. It is not visible to a guest or a patient and does not affect how the item is used.
Can we count a full trolley at once?
Yes, that is the point of the system. A tunnel or cabinet reader counts a loaded trolley in one pass with a read rate above 99% on a correctly commissioned installation.
