Asset Management
Know what you own, where it is and what condition it is in — verified by a walk-through, not a spreadsheet.
- 2 days
- Full site verification instead of 3 weeks
- 99%+
- Register accuracy after the first cycle
- Per asset
- Custodian and location on record
Most organisations have an asset register that was accurate on the day it was made. RFID asset management keeps it accurate, because verification stops being a project and becomes a walk with a handheld. Tags go on equipment, IT hardware, furniture, tools and machinery; readers at doors record movement; and an annual audit that used to take a team three weeks takes two people two days.
The problem today
What it looks like before
If two or three of these describe your operation, this solution is worth a conversation. If none of them do, it probably is not.
What we hear
The fixed asset register and the physical reality drifted apart years ago, and nobody has the time to reconcile them.
Audit requires a physical verification that the organisation cannot realistically do, so it is signed off on an estimate.
Equipment moves between departments and floors without a record, so accountability is lost.
Assets are replaced because they cannot be found, not because they are finished.
How it works
Step by step, on site
Not an architecture diagram — the actual sequence of what happens to a physical thing.
- 1
Tag every asset
A durable RFID asset tag with a printed ID and barcode goes on each item. On-metal tags for machinery and IT hardware, label tags for furniture and fittings.
- 2
Build the register
Tags are mapped to asset records — category, department, custodian, location, purchase value and date — imported from your existing register or captured fresh.
- 3
Read at doors and on rounds
Fixed readers at floor and building exits log movement automatically. Handhelds cover everywhere a fixed reader does not go.
- 4
Verify by walking
A verification round with a handheld reads every tag in range and reconciles it against the register on the spot, flagging missing, moved and unregistered items.
- 5
Act on the exceptions
The system produces a short exception list instead of a long inventory. That list is what the finance and admin teams actually work through.

What changes
Results and benefits
Figures come from real deployments. They depend on site conditions, which is why we commit to numbers for your site only after a trial.
- 2 days
- Full site verification instead of 3 weeks
- 99%+
- Register accuracy after the first cycle
- Per asset
- Custodian and location on record
- Audit-ready physical verification that can actually be performed every year.
- Replacement buying falls because assets that were written off are found.
- Movement between departments is recorded, so custody is clear.
- Maintenance and depreciation are tracked against the same record as the physical tag.
Example deployment
What one site looked like
Client names are withheld until we have written permission to publish them.
Multi-floor corporate office, 4,200 assets
IT hardware, furniture and equipment across six floors were tagged over four days. The first verification round found 212 items the register did not have and 138 items the register showed that no longer existed. The register was corrected once, and each subsequent annual verification now takes two people two days.
Implementation & support
How the project actually runs
Including the parts that take the longest and the parts you have to own rather than us.
- 1
Survey and tag selection
We look at the asset mix and pick tag types — on-metal for IT and machinery, label for furniture — and test read rates on the actual items.
- 2
Tagging drive
A tagging team works floor by floor, capturing or verifying asset details as each tag goes on. This is the labour-heavy part and it happens once.
- 3
System setup
Categories, departments, custodians, locations and depreciation rules are configured, and the existing register is imported and matched.
- 4
Reader installation
Fixed readers at the exits that matter. Most sites need far fewer than they expect — handhelds cover the rest.
- 5
Training and handover
Admin and finance teams are trained on verification rounds, exception handling and reporting, with a documented process.

Questions
Before you commit
How long does tagging take?
Roughly 60 to 100 assets per person per hour for straightforward items, slower for machinery that needs on-metal tags and careful placement. A 4,000-asset office is a few days with a small team.
Can we use our existing asset register?
Yes. We import it, match what we find physically against it, and the first verification round is what corrects it. That reconciliation is usually the most valuable output of the project.
Do we need readers at every door?
No. Fixed readers pay for themselves at building exits and high-value store rooms. Everywhere else, a handheld round is cheaper and just as accurate.
