Smart School Management

Attendance without a register, parents informed the moment a child arrives, and the office running on one system.

1800+
Students on a single deployment
Seconds
From gate read to parent alert
No queue
Walk-through gate attendance

Two things drive a school RFID project: teaching time lost to taking attendance, and parents who want to know their child arrived safely. A UHF gate handles the first two hundred students in the time a register handles one class, and the parent alert goes out automatically. Around that, the School ERP runs admissions, fees, exams and transport.

The problem today

What it looks like before

If two or three of these describe your operation, this solution is worth a conversation. If none of them do, it probably is not.

What we hear

  • Period-wise attendance on a register costs teaching time every day and produces numbers nobody fully trusts.

  • Parents have no confirmation their child reached school, and the office fields calls about it.

  • Fee follow-up is a manual list, so collection drags and reconciliation takes days.

  • A child not boarding the school bus is discovered too late.

How it works

Step by step, on site

Not an architecture diagram — the actual sequence of what happens to a physical thing.

  1. 1

    Issue student ID cards

RFID student cards printed and encoded in-house, so replacements are a five-minute job at the office rather than a vendor order.

  2. 2

    Gate reading

UHF readers at the school gate mark students as they walk in, in a stream, with nobody stopping to tap.

  3. 3

    Parent alert

An arrival message goes to the parent on the app, SMS or WhatsApp within seconds of the read, and again at exit.

  4. 4

    Classroom attendance

Period-wise attendance by card tap or classroom reader, so subject attendance is real data.

  5. 5

    Bus boarding

Readers on buses record boarding and alighting, with an alert if a child does not board as expected.

  6. 6

    Office on one system

Admissions, fees, exams, timetable and staff payroll run in the same ERP, so the attendance data is actually used.

What changes

Results and benefits

Figures come from real deployments. They depend on site conditions, which is why we commit to numbers for your site only after a trial.

1800+
Students on a single deployment

Walk-through gate attendance
  • Teaching time returned to teaching.
  • Parents reassured without the office making calls.
  • Attendance data accurate enough to use for board returns and for fee-linked policies.
  • One system for the office instead of four disconnected ones.

Example deployment

What one site looked like

Client names are withheld until we have written permission to publish them.

CBSE school, 1,800 students and 200 staff

Two UHF gate lanes at the main entrance, classroom readers in senior sections, RFID on the bus fleet and a white-label parent app. Morning attendance is complete before the first bell. Parent calls to the office about arrival dropped away almost entirely within the first month.

Implementation & support

How the project actually runs

Including the parts that take the longest and the parts you have to own rather than us.

  1. 1

    Card issuance

Card printer and stock supplied, student photos captured, and the first batch printed and encoded by the school's own staff.

  2. 2

    Gate installation

UHF readers and antennas positioned for the actual entrance width and student flow, tuned so cards in bags read reliably.

  3. 3

    ERP setup

Classes, sections, fee heads, timetable, exam patterns and staff records configured and existing data imported.

  4. 4

    Parent app launch

White-label app published under the school's name, with a parent onboarding drive.

  5. 5

    Bus and classroom phase

Transport readers and classroom attendance added after the gate is running smoothly, rather than everything at once.

Questions

Before you commit

Will a card in a school bag read at the gate?

Yes. That is exactly the case a UHF gate is tuned for. Placement, antenna angle and power are set against real students walking through with real bags.

Can the app carry our school name?

Yes. The parent app is white-label and is published under your school's name, icon and colours.

What if a child forgets their card?

The office marks them present manually and the exception is logged. Repeated exceptions show up on a report, which is how forgotten cards actually get addressed.
