Society & Workplace Entrance

A gate that residents drive through, visitors who are approved from a phone, and a real record instead of a register.

A housing society gate has a specific set of problems: residents queuing behind a visitor, a guard who cannot reach the flat, and a register nobody can read. This solution handles residents and staff with tags and cards, and visitors with an approval that goes to the resident's phone — so the guard stops being the bottleneck.

The problem today

What it looks like before

If two or three of these describe your operation, this solution is worth a conversation. If none of them do, it probably is not.

What we hear

  • Residents wait behind a visitor while the guard calls the flat.

  • The gate register is illegible and useless when it is actually needed.

  • Household staff and contractors come and go with no attendance record, so payment is disputed.

  • Former tenants and dismissed staff keep working access because the card was never collected.

How it works

Step by step, on site

Not an architecture diagram — the actual sequence of what happens to a physical thing.

  1. 1

    Register residents and vehicles

Flats, owners, tenants, family members and vehicles recorded, with cards for people and windshield tags for cars.

  2. 2

    Drive through

A long-range reader identifies the resident's vehicle on approach and the barrier opens without a stop.

  3. 3

    Visitors from the phone

The guard or a kiosk registers the visitor with a photo, the resident approves on the app, and a pass is issued with a time limit.

  4. 4

    Pre-approve the regulars

Residents pre-approve household help, deliveries and cabs with a code, so expected visitors pass without a call.

  5. 5

    Record everything

Every entry and exit is logged, and household staff get a monthly attendance sheet the resident can actually check.

What changes

Results and benefits

Figures come from real deployments. They depend on site conditions, which is why we commit to numbers for your site only after a trial.

Monthly
Household staff attendance sheets
  • The gate stops being a queue at the times residents actually use it.
  • The guard handles exceptions rather than every single entry.
  • A complete, searchable entry record for the committee and for any incident.
  • Household staff attendance ends the monthly argument about days worked.

Example deployment

What one site looked like

Client names are withheld until we have written permission to publish them.

Gated community, 620 flats

Windshield tags on 740 resident vehicles, cards for household staff, a visitor kiosk at the gate and a resident app. Evening peak queueing at the entrance disappeared, and the committee now has a searchable entry record instead of eleven filled registers in a cupboard.

Implementation & support

How the project actually runs

Including the parts that take the longest and the parts you have to own rather than us.

  1. 1

    Committee scoping

What the society actually wants enforced, which is a governance decision as much as a technical one.

  2. 2

    Resident data drive

Flats, residents, tenants, vehicles and household staff registered, with the society's help — this is the part that needs their push, not ours.

  3. 3

    Gate hardware

Barriers, long-range readers, kiosk and controllers installed and commissioned at the entry and exit lanes.

  4. 4

    App rollout

Resident app published and onboarding run in batches by wing, with support for residents who need help.

  5. 5

    Guard training

Guards trained on the exception cases, which is where the system either works or gets bypassed.

Questions

Before you commit

What if a resident does not use a smartphone?

The guard can call as before, and the system records the approval either way. The app is the fast path, not the only path.

Who owns the data?

The society. On a self-hosted install the server sits in the society office. On cloud, the data is the society's and can be exported in full.

Can it work with our existing barrier?

Usually yes. Most barriers accept a relay input, which is what our controller drives. We confirm the make and model before quoting.
