A planned visit, start to finish

S-Tech Smart Gate & Visitor Management is built for the main gate of a factory or plant. Authorised staff book a visit from their phone or browser, the visitor receives a code by email, security verifies the code in seconds and the details fill in from the booking. The host gets a notification and approves the entry from their phone. Walk-ins are registered at the gate and routed by the visitor management team to whoever is available. Staff on foot, staff and authorised vehicles, inward and outward shipments, contractors, service engineers and couriers all go into the same gate register. With optional RFID readers, the automatic sliding gate and turnstile open by themselves for staff and authorised vehicles, and every entry is still recorded.

Why this exists

What it fixes

These are the problems clients describe to us before they buy. If none of them sounds like your week, this may not be the right product — tell us and we will point you at a better one.

What we hear

  • Visitors fill in forms at the gate while security phones around the plant to find the person they came to meet.

  • A walk-in waits at the gate because the one person they asked for is busy.

  • Shipments, contractors, couriers and staff vehicles are not in the same record as visitors, so nobody knows who or what is inside.

  • Staff and authorised vehicles wait for a guard to check them and open the gate by hand.

What is inside

12 modules

Every deployment turns on the modules you need. Nothing here is a separate purchase unless the plan says so.

Visit booking

Any authorised staff member books a visit in the phone or web app with the visitor's name, email, date, time and purpose.

Visit codes by email

The visitor receives a unique visit code with the date and host. At the gate they only say the code, and name, company, host and purpose fill in from the booking.

Host approval

The host is notified as soon as security verifies the code and approves or declines the entry from the phone. Nobody enters until the host approves.

Walk-in registration & transfer

Security enters name, phone, company, purpose and whom to meet, with photo and ID. The visitor manager forwards the request to any available staff member, and returning visitors are found by phone number.

Security console

A gate tablet or PC for verifying visit codes, registering walk-ins, logging vehicles and shipments and recording exits.

Vehicles & shipments

Inward and outward shipments with vehicle number, challan, material and destination at entry and exit; staff vehicles by tag or vehicle number.

Entry types

Planned visitors, walk-ins, staff, vehicles, shipments, contractors, service engineers and couriers, each with its own entry type and approver.

RFID gate control (optional)

RFID windscreen tags for authorised vehicles and RFID cards for staff open the automatic sliding gate and turnstile with no manual step. Unknown tags stay closed.

Roles & permissions

Separate roles for staff and hosts, the visitor management team, security and admin. Admin manages users, gates, entry types, rules and RFID tags and cards.

Notifications

Push notifications when a visitor arrives, an approval is needed, a walk-in is transferred or a visitor leaves, and email for visit codes.

Live view

Visitors, contractors and vehicles currently inside with their host, pending approvals, RFID entries and shipments today.

Gate register & reports

Every entry and exit by date, gate, type and approver; visitor history; host, department and company reports; walk-ins against planned visits; shipments in and out; export.

The RFID difference

What RFID adds over manual and barcode

Barcode and manual entry still work everywhere in this product. This is what changes when you add RFID on top.

  • An authorised vehicle with an RFID windscreen tag opens the sliding gate by itself — no guard, no register and no manual check.
  • Staff on foot pass the turnstile on their RFID card, and the entry still goes into the gate register.
  • The reader checks each tag against permissions, so unknown tags keep the gate closed and automation does not weaken security.
  • Every automatic entry is recorded with the time, the person or vehicle and the lane.

Deployment

Cloud, your server, or no internet at all

The same software either way. This is a deployment choice, not a different edition with fewer features.

Cloud

Hosted and managed. Nothing to install, live in days.

Self-hosted

On your own server, inside your building. You own the database.

Runs on

  • Android
  • iOS
  • Web
  • Gate tablet or PC (security console)

Integrates with

  • Automatic sliding gates and turnstiles through RFID readers
  • S-Tech Canteen Management System — guest meals recorded against a visit
  • S-Tech AIR RFID Inventory — inward shipments expected at RFID receiving
  • Email for visit codes
  • Push notifications on Android and iOS

Who it is for

  • Factories and manufacturing plants
  • Sites where visitors, staff, vehicles and shipments share one main gate
  • Plants with suppliers, contractors, service engineers and couriers arriving every day
  • Security and admin teams that need to know who is inside right now

Every S-Tech product

The same nine promises, on all 22 products

These are not per-product features. They apply to everything we build, and they are the reason our software works on sites where other systems do not.

RFID-first

Every product is built around RFID speed and modern technology from the start, not bolted on afterwards.

Any RFID hardware

Ready to configure with any make of RFID hardware. Barcode, QR code and traditional manual methods work by default.

Runs anywhere

Web, Windows, macOS, Linux, Ubuntu, Unix and Android. Your team uses the machine it already has.

Online or offline

Works fully online in the cloud, or fully offline on a local server, and syncs when a connection returns.

Self-hosted option

Host it on your own server and keep the data inside your building. No dependence on our infrastructure.

White-label

Available under your own brand — logo, colours, product name and domain.

Customisable

Every deployment is unique. Modules, fields, forms, reports and workflows are changed to fit your process.

Performance & reliability

Built for speed and uptime under real load, on real hardware, in places with unreliable power and network.

Secure by design

Encrypted data, role-based access, full audit trail and scheduled backups. You own the data.

A note on wording: where we say "fully offline" we mean the system runs on a local server on your own network with no internet connection, and syncs when one returns. Where we say "secure" we mean encrypted data, role-based access, a full audit trail and backups you control. We would rather be specific than round it up to 100%.

Questions

Before you ask us

The things buyers actually check. If your question is not here, ask it — we answer honestly, including when the answer is no.

Does the visitor need to install the app?

No. The visitor receives a code by email and tells it to security at the gate. The app is for staff, hosts and the visitor management team.

What happens if the host is busy when a walk-in arrives?

The request goes to the visitor management team, who forward it to any available responsible person. That person approves or declines from the app.

Do we need RFID to use it?

No. RFID control of the sliding gate and turnstile is optional and is quoted after a site survey. Without it, security logs staff and vehicles from the console.

What do we need to provide at the site?

A tablet or PC at each gate for the security console, internet at the gate for codes, approvals and notifications, and Android or iOS phones (or any browser) for staff.

How is this different from your Entrance Automation System?

Entrance Automation is built for housing societies and workplaces with residents and household staff. Smart Gate & Visitor Management is built for a plant gate, where staff book visits, walk-ins are routed to whoever is free, and shipments are logged with vehicle number and challan.
